The Georgia Tech Alumni Association understands that collecting and processing personal information is an important topic, and it is committed to safeguarding privacy. This page addresses concerns about personal data collection and provides information about what is collected and how it is used. About the Georgia Tech Alumni Association
The Georgia Tech Alumni Association has served Georgia Tech and its alumni in a variety of ways during its 100-plus year history. Its primary mission is to champion and serve our alumni and the Institute through programming and engagement that fosters lifelong relationships and philanthropic support.
The Association is recognized as a not-for-profit corporation through both its corporate charter and under IRS 501(c)3 guidelines. It is a separate corporation from Georgia Tech and is not a state-funded organization.
In support of its mission, the Association has four primary business activities in mind:
- Acquisition, management, and analysis of information about Georgia Tech's alumni;
- Strategic communications from print publications and electronic/social media outreach;
- Broad engagement strategies which include approximately 100 active alumni networks and affinity groups around the globe, a career services operation, a travel business, three large student groups, and a robust events operation that engages not only alumni but also families, friends, and—most importantly—donors;
- An annual fundraising operation
known as Roll Call, Georgia Tech's Fund for Excellence, accomplished primarily through direct mail, electronic personal solicitations, phone calls, and text messaging.
Why Is Personal Information Collected?
It is essential and necessary for the Association to collect, process, use, and/or maintain the personal data of the Institute's alumni, students, donors, and others to achieve its mission and perform alumni relations efforts to promote engagement and philanthropy on behalf of Georgia Tech.
Whose Information Is Collected?
The Association collects information about:
- Alumni (any student who has earned a Georgia Tech degree)
- Students (both current and past)
- Parents of Students (both current and past)
- Faculty and Staff (both current and past)
- Friends (spouses, other donors, and supporters of Georgia Tech)
What Information Is Collected?
The Association collects:
- Contact information – home and business addresses, phone numbers, email addresses, and social media contact information
- Demographic information – names, titles, gender, birth and death dates, and ethnicity
- Student information obtained from campus records – degrees, majors, organization involvement, activities, awards, and sports involvement
- Employment information – company names, job titles, and industry information
- Family information – spouse's name, children's names and birth dates, and familial relationships
- Alumni information – activity interest and participation, event attendance, volunteer interests, organization affiliations, committee participation, awards and honors, attitudes and preferences
- Donor information – giving information regarding any donation which is made or for which someone receives credit
- Analytical information – aggregated transactional information related to web visitor activity and email marketing

What Is Done with Collected Information?
Collected information is used only for Association purposes, including:
- Fundraising for Roll Call and Scholarships
- Promoting alumni events, programs, products, and services
- Conducting research and analysis to better understand alumni attitudes, preferences, and interests
As a recognized not-for-profit corporation through both its corporate charter and under IRS 501(c)(3) guidelines, the Association is not subject to the provisions of the Georgia Open Records Act, which provides that all Georgia citizens are entitled to view the records of state agencies upon request.

The European Union General Data Protection Regulation (GDPR)
The purpose of the GDPR is to protect all EU citizens from privacy and data breaches in an increasingly data-driven world. The Association takes seriously its duty to protect all personal data it collects or processes, regardless of whether the person is located in an EU country.
As a Cooperative Organization of Georgia Tech, the Association follows all provisions of the Institute's EU General Data Protection Regulation Compliance Policy, including:
- protecting all personal data it collects or processes
for a lawful basis, - obtaining affirmative consent prior to collecting or processing sensitive personal data,
- immediately notifying Georgia Tech Cyber Security upon suspicion of any personal data breach or disclosure

Cookies
Cookies are files that many websites transfer to users’ web browsers to enable the site to deliver personalized services or to provide persistent authentication. The information contained in a cookie typically includes information collected automatically by the web server and/or information provided voluntarily by the user. Our website uses persistent cookies in conjunction with a third party technology partner to analyze search engine usage and web traffic patterns. This information is used in the aggregate to monitor and enhance our web pages. It is not used to track the usage patterns of individual users.
How is Information Stored and Secured?
The Association uses administrative technical and physical security measures to protect personal information, including destroying information when it is no longer needed. Staff with access to sensitive information are bound to a confidentiality agreement, have passed a criminal background check, and are required to undergo periodic reviews of acceptable data usage and information security training.
The primary system of record for all alumni contact information, demographic data, and donor information is kept in a secure enterprise-grade database run by the Georgia Tech Foundation, Inc. Online alumni information is kept in an isolated, secured database by Anthology Inc., in Kansas City, Missouri. All sensitive information transmitted online is secured by industry-standard SSL/TLS 128-bit encryption. Anthology maintains compliance with the Payment Card Industry Data Security Standard (PCI DSS) and is certified compliant as a Level One Service Provider by a Qualified Security Assessor (QSA) authorized by the PCI Security Standards Council.
